Internal applications

Plan internal tools around the way your business works.

Your team knows the work. The difficulty is turning the spreadsheets, messages, and unwritten rules behind it into something developers can build. AlphaTales helps you work through those decisions, from the business problem to reviewed workflows, requirements, and a plan for your internal application.

When everyday work needs its own application

Internal business applications help employees carry out work inside an organisation: handling requests, tracking equipment, coordinating operations, or reviewing records. The reason to build one is usually specific. A request gets lost between teams. Two spreadsheets disagree. Nobody can tell who needs to act next.

A shared sheet can be enough while the work is simple. Internal tool development becomes worth considering when the process needs controlled access, consistent rules, several handoffs, or a reliable history. Before starting a custom build, check whether an existing tool can meet the need. A new application also needs an owner, maintenance, and people willing to use it.

The build gets harder when the process is still undecided

An internal application project can stall even when the initial idea sounds straightforward. “Track equipment requests” leaves important choices open: who approves a request, what happens when stock is unavailable, and which system holds the final record.

If those answers arrive during implementation, they can change screens, permissions, data, and tests that already exist. A longer feature list does not settle the disagreement. The useful next step is to identify the decision behind the problem and agree how the application should handle it.

There is also a risk after launch: the app may leave out the exception people deal with every day, so they return to their spreadsheets. Involve those users while defining the work, and agree who will own the application once it is in use.

AlphaTales brings these decisions into planning material your team can review. The work your team understands becomes workflows, requirements, and context developers can use.

Start with the people who know the work

In AlphaTales, an internal project begins by making the business context explicit. The Foundation review brings together the problem and expected outcome, users and responsibilities, core work and handoffs, capabilities, and data, systems, and rules. Your team reviews the statements and resolves questions before confirming the foundation.

Bring the people who perform the work into that review. They can explain the exception that never appears in the process document, or the approval that happens outside the spreadsheet. Supplied Organisation Context adds the standards and constraints the project must work within.

That context gives workflow discovery a practical starting point. AlphaTales prepares application workflow groups and individual flows for review. Check the triggers, roles, steps, rules, exceptions, and outcomes against how the work should run. Your team confirms which workflows belong in scope.

Make the first release specific enough to build

With the workflow understood, you can decide what the first version must complete. Choose a useful piece of work from start to finish, rather than the first few screens on a wish list. A request portal, for example, needs a way to assign and resolve requests as well as collect them. Broader reporting can wait if the team has an agreed way to operate without it.

AlphaTales uses the available project context and workflows to propose feature titles. You review the titles and select those to develop into detailed specifications. Requirements planning then makes the behaviour explicit through functional requirements, acceptance scenarios, permissions, data needs, and edge cases.

Read those details back against the intended scope. If a selected feature depends on deferred work, decide how that dependency will be handled. Requirements are useful when they help the business owner and developer agree what a working release must do.

Give developers and AI coding agents the same context

Internal software development also has to fit your existing systems. AlphaTales brings feature and workflow context into technical architecture planning, alongside supplied organisation standards. Your technical team reviews the proposed direction and implementation decisions before using them.

For AI-assisted development, the quality of that handoff matters. A coding agent can work from written requirements; it still needs your business rules, permissions, and decisions about scope. A prompt asking it to “build an internal app” leaves those decisions open.

Dev Pack lets you hand selected workflows, feature specifications, and available architecture to developers as downloadable files. Build MCP provides another route for compatible coding tools to request project context. AlphaTales prepares the planning material; the development team still owns implementation, security review, testing, and deployment.

Choose a project with a clear business owner

AlphaTales is a fit when your team understands a recurring operational problem but needs to turn that knowledge into a buildable plan. You do not need a complete specification to start. You do need someone who can answer questions, review the proposed behaviour, and make scope decisions.

For business application development, start the conversation with one process, the people involved, and the result that would make the work better. Bring the tools and constraints already in place. Those details give a demo something concrete to work through.
