Refund and Cancellation Policy

How AlphaTales handles subscription renewals, cancellations, seat changes, AI credits, refund requests, and billing disputes.

1. Scope

This Refund and Cancellation Policy applies to paid AlphaTales subscriptions, team seats, AI credits, usage allowances, trials, promotions, billing disputes, and related plan changes.

AlphaTales is operated from Australia. Nothing in this policy excludes, restricts, or modifies rights that cannot be excluded under Australian Consumer Law or another law that legally applies to AlphaTales and the relevant transaction.

2. Plans, billing, and automatic renewal

Paid plans, prices, billing interval, seat count, included AI credits, taxes, and renewal timing are shown at checkout, in your account, or in an agreed order form. AlphaTales currently supports monthly and annual paid subscriptions, individual plans, team plans, and a free plan.

  • Paid subscriptions renew automatically for the same billing interval unless cancelled before the renewal date.
  • You authorize AlphaTales and our payment processor to charge the payment method on file for subscription fees, seats, taxes, and other amounts shown or agreed for your plan.
  • Team plans are billed per seat and require the minimum seat count shown at checkout or in the product.
  • You are responsible for keeping billing, tax, invoice, and payment information accurate and current.

3. Cancelling a subscription

You may cancel a paid subscription from account billing settings, the billing portal where available, or by contacting hello@alphatales.io.

  • Cancellation stops future renewal charges for the cancelled subscription.
  • For normal cancellation, your paid plan remains active until the end of the current paid billing period, then moves to the free plan or another available plan state.
  • Cancelling does not automatically create a refund or credit for the unused part of the current period.
  • If you delete an account or workspace, we may need to cancel billing immediately and you may lose access to workspace content, generated output, exports, and billing history.

4. Team seats and plan changes

Seat and plan changes may affect billing, access, credits, and renewal timing.

  • Adding team seats may take effect immediately and may create a prorated charge for the remaining billing period.
  • Reducing team seats is generally scheduled for the end of the current billing period, so existing access may continue until that date and no prorated refund is issued for removed seats.
  • Moving between plans may change features, AI credits, usage limits, exports, team access, and pricing.
  • Annual plans are priced for the annual commitment shown at checkout. Cancelling an annual plan stops the next annual renewal, but cancellation alone does not entitle you to a refund for the remaining months.

5. AI credits and usage capacity

AI credits and usage allowances are product capacity, not stored money. They help meter access to AI-assisted planning, generation, exports, and related workflows.

  • AI credits have no cash value and cannot be transferred, exchanged, or redeemed for money.
  • Included credits may reset, expire, or be forfeited at the end of the billing period, when a plan is cancelled, or when your plan changes.
  • We do not provide refunds merely because AI-assisted output needs review, editing, regeneration, or does not match a preferred style or business decision.
  • If a technical failure controlled by AlphaTales causes credits to be charged without any usable service, we may restore credits, provide a service credit, or provide another reasonable remedy.

6. Refund default

Except where this policy says otherwise, AlphaTales fees are non-refundable once charged. This includes monthly subscriptions, annual subscriptions, team seats, unused time, unused AI credits, partially used billing periods, late cancellations, change-of-mind purchases, and failure to use the service.

This approach reflects the costs of providing software access, AI processing, infrastructure, support, and payment processing once a paid plan starts.

7. When refunds or credits may apply

We will review refund, credit, or remedy requests in the following situations:

  • A charge was duplicated, incorrect, or not authorized by the account holder.
  • A paid plan was charged after a cancellation request that we received and could reasonably process.
  • AlphaTales materially failed to provide the paid service and we cannot provide a reasonable fix, service credit, extension, or replacement remedy.
  • AlphaTales terminates a paid subscription without cause, in which case we may refund the unused prepaid portion unless the termination relates to a breach, misuse, fraud, abuse, or legal risk.
  • Australian Consumer Law or another legally applicable law requires a refund or other remedy.

We may also consider a first-time refund request made within 7 days of the initial paid charge if the account has had little or no paid-plan usage. This is discretionary and is not a standing right to test, consume, or export paid features for free.

8. When refunds are usually not available

Refunds are usually not available for:

  • forgetting to cancel before a renewal date;
  • changing your mind after purchase or renewal;
  • unused time, unused seats, unused credits, or reduced usage;
  • AI-assisted output that requires human review, editing, or regeneration;
  • temporary interruptions, maintenance, or issues that we resolve within a reasonable time;
  • loss of access caused by your breach of our Terms, policies, law, or payment obligations;
  • charges caused by inaccurate billing details, expired payment methods, or account administration errors on your side.

9. Trials, promotions, and discounts

We may offer trials, coupons, promotions, partner credits, startup offers, or other discounts. These may have separate conditions shown at checkout, in-product, or in the relevant offer.

  • Unless the offer says otherwise, a trial or promotion may convert to a paid subscription at the end of the offer period if you have provided a payment method and do not cancel before conversion.
  • Coupons and discounts usually apply only to future charges and are not redeemable for cash.
  • Promotional credits may expire and may be withdrawn if misused or obtained fraudulently.

10. Failed payments, taxes, and chargebacks

If a payment fails, we may retry the charge, ask you to update payment details, suspend paid features, downgrade the account, or cancel the subscription. You remain responsible for undisputed amounts owed.

  • Prices may exclude taxes unless stated otherwise. Taxes may be calculated at checkout or on invoice.
  • Payment processor, bank, currency conversion, and card issuer fees are outside our control.
  • Please contact us before starting a chargeback where possible. If a chargeback is opened, we may pause the affected account while the dispute is investigated.

11. How to request a refund or billing review

Send billing questions, cancellation issues, refund requests, suspected unauthorized charges, and invoice disputes to hello@alphatales.io.

Please include enough information for us to investigate:

  • the email address on the AlphaTales account;
  • the organization or workspace name, if relevant;
  • the charge date, amount, invoice, receipt, or payment reference;
  • why you believe a refund, credit, correction, or cancellation remedy should apply.

We may need to verify account ownership before discussing billing details. Approved refunds are usually returned to the original payment method and may take time to appear depending on the payment processor, card issuer, bank, and currency route.

12. Consumer law and required remedies

Australian Consumer Law gives eligible consumers automatic guarantees that services will be provided with due care and skill, be fit for a disclosed purpose, and be supplied within a reasonable time where no time is set. If those guarantees apply and are not met, you may be entitled to a remedy.

Depending on the circumstances, the appropriate remedy may be a fix, service credit, replacement service, refund, cancellation right, or another remedy required by law. This policy is intended to explain our ordinary commercial position without limiting those non-excludable rights.
